Comprehensive Reports
POLICIES AND PROCEDURES FOR DEPARTMENTAL REPORTS
Policies:
- Every department is required to submit a comprehensive departmental report , with updates given annually.
- Every department must complete an assessment report annually. This is separate from the departmental report process. Assessement reports will need to be included as appendices in the comprehensive report.
- In the case of a change of departmental chairs, the one who served as chair for the majority of the reporting period (typically the outgoing chair) is responsible for preparing and submitting the annual report.
- Annual updates or comprehensive reports are due to the dean and provost on August 15 each year; adjustments may be made in consultation with the dean if programs are undergoing external review or program accreditation that academic year.
- Programs that are exernally accredited should follow the guidelines and timelines given to them by their external accreditors.
- Reports made for external accreditors or reviewers will serve as the comprehensive report for that year; programs will not have to duplicate efforts in the year they are submitting self-studies for the external accreditation process.
- Routing requirements:
- Submit electronically (not scanned) in a single PDF file to your dean and to the Office of the Provost (email to provost@hope.edu)
- The provost鈥檚 office will upload to the college鈥檚 internal website
Guidelines for Comprehensive Departmental Reports
- Purpose

These reports enable the college to showcase departmental achievements and address strategic needs with key stakeholders, including academic leadership, the upper administration, the Board of Trustees, donors, accreditors and prospective students. Articulation of challenges and the need for additional resources may be presented to the board, whereas successes in student learning may be articulated to donors, the board and prospective students.
- Creating the Template

In the years in which a department is conducting a self-study for an external review or external accreditation, that department may use the self-study as their comprehensive departmental report. They do not need to follow the templates or guidelines below and they may, in consultation with their dean, establish a different timeline for the submission of the report.
For those not completing a self-study, please complete the following steps:
- Run the 鈥Departmental Comprehensive Report Template鈥 in FAR
- Enter July 1 of the first year through June 30 of the current year as the date range
- Under 鈥2. Whom to Include鈥
- Select your department. Click on 鈥淐hange Selection鈥 for Users Selected by (it appears as text, but is a hyperlink). This will open up a menu for 鈥淚ndividuals or groups to include.鈥 Click the carrot next to 鈥淒epartment,鈥 select your department, then select 鈥淪ave.鈥
- Select all users by choosing 鈥淓nabled and Disabled鈥 from the drop-down menu. This will ensure that faculty that have recently retired or are adjunct are included on your reports
- Select 鈥淩un Report鈥 on the top right for each report.
- The report will produce an editable document with space for a chair's narrative. See 鈥淲riting the Review.鈥

- Writing the Review

- Begin with your departmental purpose statement and discuss the following (2 pages
max):
- What are your goals and objectives of your curriculum? How does it align with the overall mission of the college? In other words, what is the departmental faculty鈥檚 vision of academic excellence?
- Describe the student learning outcomes for the liberal arts/Anchor Plan and for your
majors
- Which methods of assessment have you adopted to assess student outcomes? How effective are these methods? How do you judge whether you are successful?
- Reflect on the last three years of your assessment work and the steps you have taken in response to the assessment data
- Include the last three years of your assessment reports as an appendix
- In light of national trends in your discipline and higher education, describe your
departmental goals for the next three years (two pages max)
- Reflect on your previous goals, including both your successes and challenges
- Set 3鈥5 measurable goals for the department with attention to national trends and the mission of the college; see the Characteristics of a Successful Department for a framework to consider as you set your goals
- Describe the potential impediments or opportunities as you strive to achieve these goals
- Address additional resourcing that may be needed to accomplish your goals (e.g., additional staffing, additional space, additional technology)
- Provide a plan for implementation and how you will measure success in attaining your goals
- Review and edit as needed the basic summary of the scholarly and creative activity
in your department, as created through FAR. This will include the number of each of
the following outputs in a table. Write a short narrative assessing departmental productivity
(one page max):
- Summary of completed traditional outputs (e.g., academic books, journal articles, juried shows, peer-reviewed presentations or performances) and public scholarship (e.g., public lectures, popular press articles and books)
- Summary of in-progress scholarship for major projects
- Grant submissions and current status
- Provide a summary of student engagement and experiential learning within your department,
including as many of the following as are relevant for your department. Consult your
dean for further clarification. (one page max)
- Faculty-student collaborative scholarship
- Internships
- Service learning
- Number of graduates
- Student successes (e.g., awards, other activities relevant to your departmental goals and objectives)
- Post-graduation plans (e.g., employment, graduate school matriculation)
- Appendices
- FAR Data for the years since your last full departmental report
Run a 鈥Departmental Activity Report鈥 and select a date range from July 1 of the first year through June 30 of the current year. Guidelines for Annual Updates
- Briefly summarize your departmental goals and the progress from this past year
- List successes, challenges, significant changes and immediate resource needs
- Run the 鈥Annual Updates鈥 report from FAR to provide a basic summary of the scholarly and creative activity in your department in a table
- Summary of completed traditional outputs and public scholarship
- Grant submissions and current status
- Provide a summary of student engagement and experiential learning within your department, including as many of the following as are relevant for your department. Consult your dean for further clarification.
- Faculty-student collaborative scholarship
- Internships
- Service learning
- Number of graduates
